Each month, Ops-Ease consolidates input from all five functional areas into the Health Barometer — a clear, management-ready indicator of where each area stands. Green means the area is on track. Amber means attention is needed. Red means intervention is required. The Progress Report alongside it shows what has been actioned, what has moved, and what is required next.

People Operations

Full employee lifecycle management. Contracts & Onboarding

BCEA-compliant employment contracts. Onboarding documentation before Day 1. Probation tracked. Contractor register reviewed against BCEA s83A criteria.

Payroll & Leave

Monthly payroll run. Leave liability tracked in rand. Variances above 3% month-on-month flagged automatically. UIF and COIDA filings managed.

EEA, Skills & CCMA

Employment Equity with sector-specific targets applied. WSP/ATR submissions. Two-pot retirement monitoring. CCMA risk register maintained.

Compliance and Regulatory

All regulatory obligations tracked proactively. CIPC annual returns, POPIA Information Officer status, COIDA registration and annual filing, Employment Equity submissions, Skills Development reporting, and BEE scorecard maintenance. SARS deadlines coordinated with your accountant — Ops-Ease does not perform tax submissions.

Technology Operations

Two operating modes. Mode A: governance layer above an existing IT support function. Mode B: full IT operations management where no IT support manager exists. Technical break-fix is executed by specialist vendors coordinated by Ops-Ease.

Mode A — Governance Layer

Sits above an existing IT function. Policy, governance, ticket analysis, vendor SLA monitoring, and monthly IT reporting for management.

Mode B — Full IT Operations

Full IT operations management. Policy, vendor management, ticket routing, escalation, and monthly reporting. Technical work executed by specialist vendors.

Licence Audit

Software licences audited monthly. Zombie licences costed in rand. SaaS spend summarised per-employee. Auto-renewal calendar with advance alerts.

Access Control

Active accounts vs current headcount reviewed monthly. Departed staff flagged immediately. Offboarding access revocation triggered on every staff exit.

Cybersecurity Policy

Acceptable use policy, password standards, email security, device policy, data classification, and incident response procedure — built, implemented, and reviewed annually.

Finance and Business Performance

Ops-Ease does not replace your accountant. This functional area is the coordination and monitoring layer between your accounting function and the Health Barometer. We receive financial inputs, monitor performance indicators against operational context, and ensure that the picture management sees reflects both the numbers and the operational realities behind them.

Financial Monitoring

Key financial indicators monitored against operational context. Budget vs actual awareness. Cash flow position connected to operational obligations and compliance deadlines.

Reporting Coordination

Financial data from your accountant integrated into the Health Barometer. Management receives one consolidated view — not separate financial and operational reports that do not speak to each other.

Expense Governance

Operational cost monitoring — software spend, vendor contracts, headcount-related costs — connected to the financial picture. Waste and inefficiency surfaced before they compound.

General Operations

The function that ties everything together and produces the monthly Health Barometer and Progress Report. Vendor contract review and SLA management, insurance adequacy assessment, key-person dependency mapping, SOP framework development and maintenance, operational process documentation, and BEE scorecard maintenance. The evidence maintained here is the same evidence auditors, verifiers, and regulators will ask for.

Vendor & SLA Management

Contracts reviewed. SLAs monitored. Renewals tracked. Expired contracts flagged before the business loses the protection they provided.

Risk Mapping

Key-person dependency documented. Insurance schedule reviewed annually. Business continuity gaps reported in the monthly Progress Report.

SOPs & Reporting

Shareholding structuring, commercial disputes, insurance placement, and technical IT break-fix are referred to appropriate specialists. We manage the coordination — we do not work outside our scope.
